Gmail Filter Step by Step: Auto-Sort Every Email You Get

Inbox chaos is a solvable problem. If you use a different dot variation per service, you can build Gmail filters that sort every incoming email automatically - before you see it.

1. Generate your variations

Open the generator and pick a unique variation for each service (Netflix, bank, newsletters, work signups). Keep a CSV of the pairings.

2. Open the Gmail filter dialog

1. In Gmail, click the sliders icon inside the search bar.
2. In the To field, paste one variation address.
3. Click "Create filter" at the bottom.

3. Pick actions

• Apply label: create per-service labels like "Shopping" or "Bank".
• Skip inbox: bypass inbox for low-priority senders.
• Forward: pipe receipts to an accountant automatically.
• Never send to Spam: for critical services.

4. Bulk-filter with DotMail

DotMail has a "Copy Gmail filter" button that produces to:(a@gmail.com OR b@gmail.com ...) for every selected variation. Paste that into Gmail search, click sliders → Create filter, and you have one filter covering an entire cluster of addresses.

5. Audit yearly

Once a year, revisit filters and prune. Services change addresses, promotional patterns shift, and old filters silently keep archiving mail you now want to see.
